Overview

Sometimes you will need to amend incorrectly imported data.  If you need to amend only a few data values, this can be done directly on the data point properties form.  However, if you need to make many amendments, or need to amend the sample point, variable, date or source then you can easily delete the incorrect data and re-import the file once amended.

Details

Amending single data points

1.  Using the Database Explorer, drill down to the data point to be edited.  Do this by double clicking on the relevant sample point or variable to get summary data...

then again to get a list of individual data points...

then again on the data point you wish to edit.

In the value box, type the new value (either text or a number).  The OK button will change to Save.  You can also enter a comment under the Comment tab.  Save the point.  All summaries will now indicate that the point has been edited, and when revisited you will have a drop-down list of previous values, along with the user that was logged in and made the change.

Amending many data points

The above would be laborious where more than a few edits were necessary, or not possible if you need to edit the sample point, variable, date or source.  This requires a 2-stage process:

1.  Find the incorrect data.

The easiest way to find data is to make a selection.  These are at the top of the Database Explorer tree.  You will find one called "Current Selection".  Right click on its icon & choose "Edit Selection".

 

 

 

 

 

 

 

 

 


Choose the data that you want to work with and press save.  Now your current selection holds the data that you need.

At this point, you have 2 choices:  Either edit the original file to re-import, in which case proceed to delete below, or you are going to export your selected data for editing.  In which case, export it before deleting!  This latter option is useful where you may have spent time resolving the data and don't want to do it again on the source file.

To export your selected data, double click either "Export Crosstab Data" or "Export to MPR" depending on which format you normally use to import with. 

Note:  You can easily edit .mpr files by renaming them to .csv then using a spreadsheet.

2.  Delete the incorrect data.

Double click on "Quick Table" in your selection (see image above), then from the toolbar choose "Delete all data from this view".  Note:  The data is not actually deleted but sent to the recycle bin.

3.  Amend your data and re-import in the usual way.
